Is there confusion over what is the 'original' copy of a TPO and the
office copy? The 'original' copy of any confirmed TPO is a legal
document and should be vaulted away, usually by the legal department,
along with terrier documents etc. and, needs to be kept. It is all the
office file copies, with the correspondence attached, that we normally
deal with and which we should be asking the questions about. So no you
don't need to keep the working office copies. All we have to do is have
'copies' available for public inspection and if that be electronic
'copies' then that is fine. The only caveat being is make sure you copy
the confirmed order or have copy evidence the TPO is confirmed.

Subject: Paperless Office - Keeping Original TPO's
Morning All,
We are currently finishing off the process of going paperless in our
offices. We have scanned all of our TPO's and have them all available on
a digital system etc.
My question is are we legally required to keep the original copy of the
TPOs. Would we be able to prosecute without it?
Any info from anyone who is going through, or has gone through, the same
process would be appreciated.
Thanks
James
